Terms and Conditions for Padel Travel Trips

Thank you for choosing Global Padel Adventures. These Terms and Conditions are designed to be clear, fair, and easy to understand. We want every trip we run to be a brilliant experience, and having clear expectations from the start is part of making that happen. By booking a padel trip with us, you agree to the following terms.

1. Booking & Payments

Individual Booking

Our trips are group experiences, but each participant books and pays individually. The person making a booking must be at least 18 years old and is responsible for all payments associated with their own reservation. Your booking is confirmed and a binding contract is formed once we issue a confirmation after receiving your deposit. Please review your confirmation invoice and itinerary carefully and contact us immediately if anything looks incorrect.

Deposit Requirement

A non-refundable deposit of 20% of the total trip cost is required to secure your booking. We will confirm the exact deposit amount at the time of booking. This deposit allows us to secure accommodation and services on your behalf. Once your deposit is paid and your place is reserved, it becomes non-refundable, so we recommend only committing when your travel plans are firm.

From time to time, we may offer early bird or promotional rates with a reduced deposit requirement. Any such offer will be clearly stated at the time of booking and will not affect the standard terms that apply to the remainder of your payment.

Payment of Balance

The remaining balance is due no later than 8 weeks before the trip start date. If you book within 8 weeks of departure, full payment is required at the time of booking. Failure to pay the balance by the due date may result in cancellation of your booking and forfeiture of your deposit. We reserve the right to cancel any booking not paid in full by the deadline.

Pricing and Currency

All prices are quoted and charged in US Dollars (USD) unless otherwise stated in your booking confirmation. Prices are per person and typically assume double occupancy. A single room supplement applies if you require sole use of a room. Once your booking is confirmed with a deposit, your price is locked in and will not change. GPA accepts no liability for any currency exchange rate fluctuations that may affect the cost to you in your local currency.

2. Late Bookings

We welcome last-minute bookings where space is available. For bookings made within 8 weeks of departure, full payment is required at the time of booking. Availability at this stage may be limited and preferred room configurations may no longer be available. Please reach out as early as possible if you are considering a late booking.

3. Cancellation by You (Client) and Refunds

Cancellation Procedure

If you need to cancel, please notify us in writing as soon as possible. Cancellations are effective from the date we receive your written notice. The following charges apply:

  • More than 60 days before departure: loss of deposit only.
  • 59 to 30 days before departure: 50% of the total trip cost is forfeited.
  • 29 days or less before departure: 100% of the total trip cost is forfeited.

If you cancel and we are able to fill your spot with another participant, we may, at our sole discretion, offer a partial refund or credit toward a future trip after deducting any non-recoverable costs. This is not guaranteed and is assessed case by case.

We strongly recommend taking out comprehensive travel insurance that includes cancellation cover. Cancellation losses are not covered by GPA and we are not liable for circumstances outside our control that affect your ability to travel.

4. Changes to Your Booking (By You)

Modification Process

If you wish to make changes to your booking, such as switching dates or transferring your place to another person, please contact us in writing. While we will do our best to accommodate requests, changes are subject to availability and may incur additional supplier costs.

Where a change is possible, an administrative fee of $25 applies in addition to any costs passed on by our suppliers. If the requested change is not feasible, your original booking remains in place. If you choose to cancel as a result, the cancellation terms above apply.

Transfers to Another Person

Transfers to another person may be permitted provided the replacement participant meets all requirements, agrees to these Terms and Conditions in full, and all relevant details are provided no later than 45 days before departure. Both the original and replacement participant remain responsible for any outstanding payments and additional costs arising from the transfer.

5. Cancellation or Changes by Us

We reserve the right to cancel or make changes to a trip where necessary, including due to insufficient booking numbers or circumstances beyond our reasonable control. In the event of cancellation by GPA, you will receive a full refund of all monies paid to us, or the option to transfer your payment in full to another available trip.

If we must cancel or significantly alter a trip due to force majeure events such as natural disasters, government travel restrictions, pandemics, or civil unrest, we will work in good faith to offer alternative arrangements or refunds where possible. Additional compensation beyond your payment amount is not guaranteed in these circumstances.

Minor changes to the programme, such as adjustments to hotel, itinerary order, or activity timing, do not qualify for cancellation or refunds provided the overall quality and nature of the experience remains materially intact. We will notify you of any significant changes as soon as reasonably possible.

6. Complaints Procedure

Handling Concerns

We genuinely care about every participant’s experience and want to resolve any concerns quickly and fairly. If something goes wrong during your trip, please raise it with your GPA trip leader or our on-ground contact as soon as possible so that we have the opportunity to put it right while you are still travelling.

Formal Complaint Submission

If your concern is not resolved on the ground, please submit a formal written complaint to us within 28 days of your trip end date. Send your complaint to info@globalpadeladventures.com with the subject line: Formal Complaint. We will acknowledge receipt within 5 working days and provide a full written response within 14 working days of receiving your complaint.

Both parties agree to make a genuine and good-faith effort to resolve any dispute before pursuing any formal legal or alternative dispute resolution process. Where a dispute cannot be resolved informally, it will be subject to the governing law provisions set out in Section 12.

7. Travel Insurance & Your Responsibilities

Travel Insurance

Comprehensive travel insurance is mandatory for all GPA trips. Your policy must cover, at minimum: medical treatment and emergency evacuation, trip cancellation, personal injury, and loss or damage to personal belongings. For trips involving water sports, surfing, or other adventure activities, your policy must explicitly include cover for those activities. You may be asked to provide proof of insurance prior to departure. If you choose to travel without adequate insurance, you do so entirely at your own risk and GPA accepts no liability for losses that would otherwise have been covered.

Health & Fitness

By booking a trip, you confirm that you are in good health and physically fit to participate in the activities included in the programme. Please inform us of any relevant medical conditions, injuries, or dietary requirements at the time of booking so that we can make appropriate arrangements where possible. We reserve the right to decline a booking or ask a participant to withdraw if we have reasonable concerns about their ability to participate safely.

Participants Under 18

All participants must be 18 years of age or older at the time of travel unless otherwise explicitly agreed in writing by GPA prior to booking. Participants under the age of 18 may only join a trip with the prior written consent of a parent or legal guardian, who must also agree to these Terms and Conditions on the participant’s behalf. The parent or guardian accepts full responsibility for the minor’s conduct and welfare throughout the trip.

Travel Documents

You are solely responsible for ensuring that your passport, visas, entry requirements, vaccinations, and any other travel documentation are valid and up to date for your destination. GPA is not liable for any costs or losses arising from inadequate or invalid documentation. Please check entry requirements well in advance of departure as these can change.

Getting to the Trip

Our trips do not include international airfare unless explicitly stated in your booking confirmation. You are responsible for arranging your own flights and for arriving at the designated trip start point on time. GPA is not liable for costs arising from missed connections, flight delays, or late arrivals.

8. Group Bookings and Individual Responsibility

Where a group of participants books together or where one person enquires on behalf of others, each individual participant is responsible for their own booking, deposit, and balance payment. The person who makes an initial group enquiry does not assume financial liability for other participants unless this is explicitly agreed in writing.

If a group leader books multiple places and one or more participants in the group subsequently cancels, the cancellation terms in Section 3 apply individually to each cancelled place. GPA is not responsible for any financial arrangements between participants within a group.

9. Conduct and Behaviour

We work hard to create a positive, respectful, and inclusive group environment on every trip. All participants are expected to treat fellow travellers, GPA staff, local guides, and the communities we visit with courtesy and respect throughout the trip.

Disruptive, aggressive, or unsafe behaviour may result in removal from the trip without refund at GPA’s sole discretion. Any illegal activity, or behaviour that significantly and negatively affects the experience of other participants or the reputation of GPA, will not be tolerated. You are expected to respect local customs, laws, and cultural norms at all times.

10. Liability and Assumption of Risk

You acknowledge that travel and sport carry inherent risks, including the risk of injury, illness, loss of property, and unexpected events. While we take care to select quality partners, venues, and service providers, we cannot guarantee the complete absence of risk in any activity or destination.

GPA’s total liability to you for any claim arising from your booking or participation in a trip is limited to the total amount you paid to GPA for that trip. We are not liable for indirect, consequential, or special damages of any kind. Specifically, we are not liable for:

  • Injuries or losses not caused directly by GPA’s negligence.
  • Incidents resulting from your own actions or decisions.
  • Services booked independently by you and not forming part of the GPA package.
  • Theft of or damage to personal belongings.
  • Losses arising from force majeure events including natural disasters, pandemics, strikes, or government travel restrictions.

You participate in all activities voluntarily and accept personal responsibility for your choices and conduct throughout the trip. In the event of a force majeure disruption, GPA will provide reasonable assistance and support but cannot guarantee specific outcomes or additional compensation.

11. Media, Privacy, and Data Protection

Media Rights

Photos and videos may be taken during the trip by GPA staff or appointed photographers. These images and videos may be used for promotional purposes including on our website, social media channels, and marketing materials. If you do not wish to appear in promotional content, please notify us in writing before the trip and we will take reasonable steps to accommodate your request.

Data Processing

GPA collects and processes personal information, including your name, contact details, passport information, and payment details, solely for the purposes of operating your trip and delivering the services you have booked. Your information is handled securely, is never sold to third parties, and is shared only with the suppliers and partners necessary to deliver your experience, such as hotels, transport providers, and local guides.

GPA processes your personal data in accordance with applicable data protection legislation. For full details of how we collect, use, store, and protect your data, and your rights in relation to that data, please refer to our Privacy Policy available at globalpadeladventures.com. By making a booking, you consent to the collection and use of your personal data as described in our Privacy Policy.

12. Governing Law and Jurisdiction

These Terms and Conditions are governed by and construed in accordance with the laws of the United Arab Emirates (UAE). Any dispute, claim, or matter arising out of or in connection with these Terms and Conditions, or any booking made with GPA, shall be subject to the exclusive jurisdiction of the courts of the UAE.

Both parties agree to attempt to resolve any dispute in good faith through the complaints procedure set out in Section 6 before initiating any formal legal or alternative dispute resolution process.

By paying your deposit, you confirm that you have read, understood, and accepted these Terms and Conditions in full. A copy of these Terms and Conditions will be included with your booking confirmation.
